Summary – There needs to be a summary of the major points, conclusions, and recommendations. It needs to be short as it is a general overview of the report. Some people will read the summary and only skim the report, so make sure you include all the relevant information. It would be best to write this last so you will include everything, even the points that might be added at the last minute. Introduction – The first page of the report needs to have an introduction. You will explain the problem and show the reader why the report is being made. You need to give a definition of terms if you did not include these in the title section, and explain how the details of the report are arranged. Body – This is the main section of the report. There needs to be several sections, with each having a subtitle. Information is usually arranged in order of importance with the most important information coming first. Conclusion – This is where everything comes together. Keep this section free of jargon as most people will read the Summary and Conclusion. Recommendations – This is what needs to be done. You have the same integrity whether you are calling yourself “I” or “this officer.” And think about this: if you were testifying in court, and sworn to tell the truth, you would use everyday language (“I,” “me”) in your testimony. Follow the same practice in your reports. Limit yourself to one idea per sentence. Short, straightforward sentences are easy to read, understand and save time for everyone. You will appreciate this time-saving tip when you are reviewing a report to prepare for an important business meeting. Also, the longer a sentence is, the more likely you are to make an error. Short sentence and its structure in English generally begin with a noun, and the grammar is simple. Complicated sentences, on the other hand, require complicated punctuation, and they open the door to sentence errors. Try to limit yourself to three commas per sentence. If a sentence has more than three commas, it’s probably too complicated to be read easily, and it may contain usage or punctuation errors. Be as clear and specific as possible. “Contacted” is vague: Did you visit, phone, or email the witness? “Residence” is just as confusing: House, apartment or mobile home? Always strive for clarity. Use simple language. “Since” is easier to understand (and write) than “inasmuch as.” “Pertaining to” is a fancy (and time-wasting) way to write “about.” Stick to observable facts. Conclusions, guesses, hunches, and other thought processes do not belong in a report. Stick to the facts. A statement like “He was aggressive” won’t stand up in court. You can, however, write “Jackson clenched his fists and kicked a chair.” Write in paragraphs. Organizing information in groups has two important benefits: Your report is more logical, and it’s easier to read and understand later on. Use active voice. A widespread mistaken notion is that passive voice guarantees objectivity and accuracy. However, it is not true. Writing a sentence like “A revolver was seen under the nightstand” does not guarantee that you are telling the truth. It is much simpler to just write “I saw a revolver under the nightstand.” That is what you would prefer to read in the report submitted by someone else as well, isn’t it? Use bullet style. Bullet style is nothing but the style you have probably been writing shopping lists all your life when your mother asks you to bring something from the grocery shop nearby. Reports are a common form of workplace communication, from a simple work assessment report to the high flying technical write-up. How to write a report Title page This page should include: the report title, which states the reportâ??s purpose your name and the name of the person receiving the report (place in the bottom right-hand corner) the submission date. In the last fifty-three (53) years since our independence, Zambia has remained a beacon of peace at regional, continental and international levels. This peace we have enjoyed has not come by accident but through our collective responsibility as a people expressed in our motto of “one Zambia, One Nation”. This is emphasised in our national values and principles highlighted in our constitution namely; morality and ethics; patriotism and national unity; democracy and constitutionalism; human dignity, equity, social justice, equality and non-discrimination; good governance and integrity; and sustainable development. We acknowledge the supremacy of god almighty and have declared the republic a christian nation while upholding a person’s right to freedom of conscience, belief or religion. These values and principles have helped us remain a unitary, multi-party and democratic sovereign state. Country Men and women, It is saddening that the peace and tranquillity we have cherished this long is slowly being eroded because of a few unpatriotic citizens who have decided to involve themselves in criminal activities thereby endangering the lives and properties of many citizens. Country Men and women, You will recall that in august, 2016, tambalala market in bauleni in Lusaka was gutted. This was followed by the gutting of the mongu local court in early 2017. In april, 2017, luburma market was set ablaze. In the same month, a person was apprehended for attempting to set ablaze the intercity bus terminus in Lusaka. In a related event, four (4) youths were arrested outside the Lusaka central correctional facility with substances capable of causing a fire. On may 1, 2017, Kafue district education board offices were gutted and two (2) containers of petrol were found at the scene. On 1st june, 2017, 10, 000 households were affected in Ndola following the destruction of the zesco electricity pylons. This was followed by a similar act where citizens and industries serviced by the Kafue west – Lusaka west line were affected by the destruction of the zesco pylons. Just yesterday, Lusaka city market, the country’s largest market was gutted and property worth millions of Kwacha was destroyed. Simultaneously, a fire erupted at Lusaka’s misisi township market whose target it would seem, was to damage the zesco pylons. Fellow Country Men and Women, You will appreciate that the recent gutting of markets will have untold misery on the poor traders and their families whose livelihoods is largely dependant on the existence of the market. This therefore calls for government to formulate intervening measures to alleviate their suffering. I wish to announce that a committee of ministers has been formed to be chaired by the vice-president which in due course will provide details on the form and nature of assistance that will be provided to those affected. Apart from the Lusaka city market, I have also requested the committee to superintend over the rebuilding of the markets that have been affected in a similar nature. I, therefore, call upon the business community, all well-meaning zambians and residents to support this initiative in whatever form practical. In order to ensure transparency and accountability, all forms of support financial, material or otherwise will be coordinated through the vice-president’s office of which details will be published shortly. Following these sad events, my government has decided to invoke article 31 of the republican constitution which guides how a nation should deal with an existing situation which, if allowed to continue may lead to a state of public emergency. Therefore, practical measures as outlined tonight have had to be invoked. Fellow Country Men and Women, By the powers vested in me by the constitution of Zambia, I have issued a statutory instrument proclaiming that a situation exists which, if allowed to continue may lead to a state of public emergency. This will be tabled in the national assembly in line with article 31(2) for approval. It is my sincere hope that the members of parliament will rise to the occasion. This is not an easy decision to make, but in order to preserve peace, tranquillity, safety of our citizens and national security, we had no choice but to take this decision given the events that have occurred in the recent past. The primary responsibility of government is to protect life and property in our nation. I wish to emphasise that all law abiding citizens will not be impacted by this decision and should continue to go about their daily routines normally. I will ensure that the measures to be taken under this proclaimation will not inconvenience law abiding citizens. Therefore, this proclaimation should not instil fear among our citizens but instead provide a sense of comfort and security. In conclusion, I appeal to all citizens and the business community to cooperate with government as this proclaimation takes effect. We will continue to evaluate issues surrounding national security on a regular basis. 62 23 I'm reading over this page and it says that if a site is SSL and the user tries to access it via regular http, the application should not redirect the user to https. It should just block him. Can someone verify the validity of this? It doesn't sound like a good idea, and I wonder what the real risk is of just forwarding the user to https. It seems that there is no technical reasons behind it, just that it's a good way to educate the user. Disable HTTP access to the domain, don’t even redirect or link it to SSL. Just inform the users this website is not accessible over HTTP and they have to access it over SSL. This is the best practice against MITM and phising attacks. This way your users will be educated that application never accessible over HTTP and when they come across to a phising or MITM attack they will know something is wrong. I believe that blocking is a bad idea from an usability perspective. Many times users are entering an address in the browser without specifing HTTP or HTTPS. For example, I access gmail by typing "mail.google.com", which defaults to "http://mail.google.com" and which is automatically redirected to "https://mail.google.com". Without the automatic redirect I will always have to type the full address. I agree with the quoted article that HTTPS is the best method against MITM attacks, but I don't agree it is the best practice against phising. User education is indeed a key factor against phising attacks (the users have to check that they are accessing the site from the correct domain), but in no way you make that education by blocking HTTP redirect to HTTPS. Special care must be taken related to sensitive cookies (like session or authentication cookies), which indeed should be marked as secure, so that they will only be transmitted over HTTPS. Force HTTPS for specific URL I don't think redirecting from HTTP to HTTPS is necessarily harmful, but this should be done carfully. What's important is that you shouldn't rely on these automatic redirections to be present during the development phase. They should at most be used for users who type the address in the browser by themselves. It's also solely the responsibility of the user to check than they're using HTTPS (and that the certificate is verified without warning) when they expect it. The actual risks of switching from HTTP to HTTPS is that you can reliably trust what was done before the switch, if you choose to keep the session. The flow and process of your website should take this into account. For example, if your users browses your shopping site and adds various items into the cart using HTTP and you plan to use HTTPS to get the payment details, you should also make the user confirm the content of their basket using HTTPS. In addition, when switching from HTTP to HTTPS, you may have to re-authenticate the user and to discard the plain HTTP session identifier, if any. Sender’s Address The sender’s address is usually put on the top right-hand corner of the page. The address should be complete and accurate in case the recipient of the letter wishes to get in touch with the sender for further communication. Date The sender’s address is followed by the date just below it, i.e. on the right side of the page. This is the date on which the letter is being written. It is important in formal letters as they are often kept on record. Receiver’s Address After leaving some space we print the receiver’s address on the left side of the page. Whether to write “To” above the address depends on the writer’s preference. Make sure you write the official title/name/position etc of the receiver, as the first line of the address. Greeting This is where you greet the person you are addressing the letter to. Bear in mind that it is a formal letter, so the greeting must be respectful and not too personal. The general greetings used in formal letters are “Sir” or “Madam”. If you know the name of the person the salutation may also be “Mr. XYZ” or “Ms. ABC”. But remember you cannot address them only by their first name. It must be the full name or only their last name. Subject After the salutation/greeting comes the subject of the letter. In the centre of the line write ‘Subject” followed by a colon. Then we sum up the purpose of writing the letter in one line. This helps the receiver focus on the subject of the letter in one glance. Body of the Letter This is the main content of the letter. It is either divided into three paras or two paras if the letter is briefer. The purpose of the letter should be made clear in the first paragraph itself. The tone of the content should be formal. Do not use any flowery language. Basically, rewrites involveaddition, omission, replacement, alteration and synthesis. (a) Addition : This means that the transformed version has more words than the original. Examples  Mukupa lent me a suit.  I borrowed a suit from Mukupa. (b) Omission : This means that the transformed version has fewer words than the original. Examples  English is being taught by Siakachoma.  Siakachoma is teaching English. (c) Replacement : This means that the transformed version has structures that have beensubstituted by others. Examples  He was intelligent but he failed the test.  Although he was intelligent, he failed the test. (d) Alteration : This means the forms of some original words have been changed. Examples  You were supposed to go to town.  You should have gone to town. (e) Synthesis : This means that at least two sentences have been joined together to form one. Examples  The man has died. I saw him yesterday.  The man whom I saw yesterday has died. N.B: Note that one question can involve two or more of the cases above. Note also that the tense of the original sentence must be the same as that of the transformedversion except for two situations, as shown below. i. Changing direct speech to indirect speech and the other way round. Example  John said, “I am going to school.”  John said that he was going to school. ii. Dealing with the unreal past.
